Job Overview

The Campaign Coordinator will play a central role within the Act For Early Years campaign secretariat, supporting the coordination of key relationships and supporting the operational delivery of the campaign. Working day-to-day with the campaign’s senior advisory, the coordinator would work closely with the High-Level Advisory Group, senior-level stakeholders, and partners across the campaign network. The Campaign Coordinator will be responsible for coordinating project tasks, organizing communications, maintaining complex databases, and supporting event planning and logistics for high-profile international events.
The ideal candidate will possess strong communication and organizational skills, have experience with project management, and be proficient in managing and updating data on Salesforce and other platforms. This role requires a highly organized and proactive individual who can thrive in a fast-paced environment and ensure the smooth execution of campaign activities.

Key Responsibilities

Stakeholder and Project Coordination:

  • Support relationship coordination with stakeholders across the campaign network, ensuring regular email updates, organising calls for staff and external stakeholders, and sharing meeting updates and outcomes and tracking progress on tasks.
  • Act as a point of contact for both working-level and senior-level stakeholders, ensuring effective and timely communication.
  • Coordinate project tasks to ensure on-time delivery of key campaign activities.
  • Support the Campaign Lead and secretariat in tracking progress against goals, milestones, and deliverables.
  • Ensure that campaign activities are executed in line with the campaign’s strategic roadmap and timelines.

Contact Tracking and Event Coordination:

  • Organize stakeholder lists and update data within Salesforce, ensuring accuracy and consistency.
  • Track and report on campaign progress, supporting the secretariat in evaluating the impact of the campaign.
  • Assist with research and data analysis to support campaign decision-making and reporting.
  • Support the planning and organization of high-profile international events, including conferences, summits, and advocacy meetings.
  • Support event logistics, including invitations, RSVPs, venue coordination, travel arrangements, and on-site event support.
  • Work closely with campaign stakeholders to ensure successful event execution, including managing all communications and materials related to the event.

Communications and Evaluation Support:

  • Draft and coordinate communications to stakeholders, including emails, invitations, and updates on campaign activities.
  • Ensure that all communications are aligned with the campaign’s messaging and identity to a high professional standard.
  • Coordinate internal and external communication channels to facilitate efficient information sharing across the campaign network.
  • Assist with the coordination of campaign evaluation processes, ensuring that all activities are tracked and progress is monitored.
  • Collaborate with internal and external teams to gather feedback, assess outcomes, and report on the success of campaigns and events.
  • The candidate will be willing to undertake other key campaign tasks as required.

Qualifications and Experience

  • Experience: At least 3 years of experience in project coordination, campaign management, or a similar role. Experience in advocacy, non-profits, or international development is a plus.
  • Project Management Skills: Proven experience in managing complex tasks, tracking progress, and ensuring timely delivery of project deliverables.
  • Salesforce and Data Management: Strong proficiency in Salesforce or a similar CRM tool is required. Experience managing databases and handling large sets of data is essential.
  • Event Coordination: Previous experience coordinating and managing events, including logistics, communications, and on-site support for international events or large-scale meetings.
  • Communication Skills: Excellent verbal and written communication skills, with the ability to manage relationships at both working and senior levels.
  • Organizational Skills: Exceptional organizational and multitasking skills, with the ability to manage several tasks simultaneously in a fast-paced environment.
  • Attention to Detail: Ability to maintain a high level of accuracy and attention to detail, particularly in managing data and event logistics.
  • Collaboration and Teamwork: Strong ability to work collaboratively with cross-functional teams and engage effectively with stakeholders from diverse backgrounds.

Preferred Skills

  • Experience working within an international advocacy or campaign environment.
  • Familiarity with global advocacy processes related to early childhood development, health, or education.
  • Strong research and analytical skills.
  • Experience with digital communication tools and platforms.
  • Multilingual beyond English.
